Standing Regulations
1) Application formalitiesThe volunteer's association or the person in charge of volunteers of a given association of the Institute, informs the President of the Voluntary Work Commission of the application of any new volunteer (name, address, phone number, wished type of activity) in writing.
The new volunteer will be given a temporary attendance badge immediately, until the Voluntary Work Commission voices an opinion on his application.
As soon as the Voluntary Work Commission has accepted the new member, the volunteer is given an identification badge confirming the attendance certificate the volunteer is given. This badge includes the acronym of the association the volunteer is member of, his surname and first name and his function (volunteer). These badges have to be picked up at the secretary's office of the Voluntary Work Commission.
2) The secretary of the Voluntary Work Commission holds a list of all the volunteers of the Institute and passes it on to the Management of Human Resources Service (Mrs Goens) in case there are changes. This list includes the surname and the first name of the volunteer, his address, phone number, type of activity, the name of his association, the service of the Institute he is appointed to and his working schedule.
When a volunteer stops his activities, he has to let the Voluntary Work Commission know, either personally or through his association, so the commission can remove him from its lists and take back his identification badge.
3) The volunteer agrees to wear his badge as soon as he is on duty within the Institute.This badge will include the picture of the volunteer. It will be approved by the President of the Voluntary Work Commission every year and the volunteer will give it in when he stops his voluntary work for good.
4) The volunteer will be introduced to the members of his future service by the person who within the Institute is in charge of the volunteers of the association he belongs to.
This person will make sure the volunteer is correctly and precisely informed of the tasks he will be entrusted in his service. He/She will also give the volunteer the name and address of the person in charge of the service and of the person in charge the Voluntary Work Commission.
5) Throughout his activity period at the Jules Bordet Institute, but also afterwards, the volunteer agrees to remain absolutely discreet about the people he meets at the Jules Bordet Institute, be it patients or visitors. This obligation as regards discretion has to be respected outside and inside the Jules Bordet Institute.
The volunteer agrees never to consult or even open medical records.
6) The volunteer agrees to remain within the strict scope of work he is asked and not to go beyond his role by voicing his opinion on a patient's health state or on the institution. The volunteer agrees to send the patient to a professional of the Institution in case of any event that goes beyond his competences.
Should the volunteer perceive weaknesses in the infrastructure or in the organization of the institution or should he receive complaints, he will inform the Voluntary Work Commission orally or if possible in writing, so it can pass the information to the Direction. He will remain neutral.
7) The volunteer agrees to respect the patients' political, religious and philosophical opinions and to treat patients, visitors and the staff of the Institute equitably.
8) The volunteer will provide the agreed services regularly and punctually.
9) The volunteer signs the volunteers' book when he arrives and when he leaves the Institute.
In case of an accident, this will prove that he was at the Institute on that precise day. Within 24 hours, the volunteer will inform his association and the Voluntary Work Commission of any accident that occurred on his way to work or during his work.
10) The volunteer will inform the person in charge of the service he works for of any impediment (disease, holydays, delay ) so he can be replaced.
11) The volunteer functionally depends on the person in charge of the service mentioned under section 4, so he may get remarks from this person, in the interest of the service.
12) The volunteer will make sure the association he belongs to has taken out an insurance against the risks of a working accident.
13) In case of a specific relationship or psychological problem, the volunteer may revert to the help of psychologists who will ensure a daily duty (schedule available at the secretary's office of the Commission and the persons of the Institute who is in charge of the volunteers of your association).
14) Should there be a problem, the volunteer will first inform the person in charge of the service he works in. If this person cannot solve the problem, the volunteer will contact the person of the Institute who is in charge of the volunteers of his association or the Voluntary Work Commission.
15) The volunteer will respect the internal organization of the Jules Bordet Institute.
16) The volunteer will always have a good appearance, adapted to his task.
17) In case the volunteer is unemployed, he will have to commit himself to taking up contact regularly with the person in charge of his association to tackle administrative formalities required by the ORBEM or the FOREM.
